Check prerequisites
Plan: Plus or Max
Role: Administrator
Availability: Centralized user management with at least two companies
Note: You only see users from companies where you have admin rights.
Select the user
Open Settings → User management in Centralized user management.
Set the filter Status = Active.
Click the user you want to deactivate. Candis opens the side drawer with user details.
Note: Roles and status apply per company.
Start deactivation
In the drawer, click Deactivate user (bottom right).
Candis checks the user’s involvements across all affected companies.
Review and resolve involvements
No involvements: Confirm Deactivation — the user is deactivated immediately.
Automatically resolvable involvements: Candis removes the user automatically if nothing blocks removal (e.g., one of several team members).
Blocking involvements: You must resolve them first (e.g., the user is the only participant of a workflow and needs a successor).
Candis shows a list of blocking involvements.
Click each item; Candis opens the relevant location in the respective company in a new tab.
Resolve the involvement (e.g., select a successor).
Return to the list and refresh it.
After all blocking involvements are resolved, Candis shows a success message and then an overview of companies where the user will be deactivated.
Confirm deactivation and finish
Review the overview and click Deactivate.
The user’s status changes to Inactive.
Find the user via Status = Inactive and restore if needed.
Note: Inactive users have no access to Candis.
Important
If a user is a Owner in a company, an Administrator cannot deactivate them.
Option A: The user logs in and selects a successor in that company.
Option B: Contact Candis Support — we will set the successor.

Employee leaving the company: Deactivate a user in multiple companies at once after you reassigned blocking workflows to successors.
