Invite and import users

Invite single users or import many — for one or multiple companies.

Step-by-step guide

Check prerequisites

  • Plan: Plus or Max

  • Role: Administrator

  • Availability: Centralized user management with at least two companies

Note: You only see users from companies where you have admin rights.

Invite individual users

  • Open Settings → User management within Centralized user management.

  • Click Create. Candis opens a side drawer.

  • Enter: First name, Last name, Email address, Language, Profile picture.

  • Select one or more companies to invite the user to.

  • Choose the roles (e.g., Approver, Requester).

  • Click Send invitation.

Note: The selected role combination applies to all chosen companies.
Tip: Set different roles per company later: Switch company → Edit user.

Import multiple users

  • Open Settings → User management within Centralized user management.

  • Click Import. Candis starts a 3-step dialog.

Step 1 – Select companies

  • Choose one, several, or all companies.

Step 2 – Upload file

  • Option A: Download the template, fill it out, and upload it.

  • Option B: Users already exist in one company? Export the user list of that company and upload it via Centralized user management.

  • Required file fields: First name, Last name, Email address, Roles (identical for all selected companies).

  • Language: On import, Candis does not set a language per user; it inherits the company language of the selected companies.


Step 3 – Preview

  • Candis checks completeness, flags duplicates (same email), and validates role combinations.

  • Confirm the import.

Tip: Set different roles per organization after the import: Open company → Edit user.
Note: You can change the language per company for individual users after the import.


After the invitation — status “Pending”

  • Candis sends an email invitation.

  • Until confirmed, the user has Status = Pending.

  • You can resend or revoke the invitation.

  • Filter the user list by Status = Pending to find open invitations.

Important

  • The Credit Card Manager role is not supported in Centralized user management. Assign it per user and per company.

  • Create credit cards per user and per company, not centrally.

  • Candis ignores the Primary Administrator role during import. If a user is already a Primary Administrator in another company, the import does not transfer this role to additional companies.

Examples

  • Onboarding across locations: Use the template import to invite 20 new colleagues to three companies at once.

  • Reuse existing data: Export the user list from Company A and import it centrally for Companies B and C.
