Overview about all users

Manage users, deactivate or reactivate them

In this article, you will learn how to manage users in Candis, invite new users, deactivate or reactivate them, and adjust roles.


Overview: Settings > User management

In Settings > User management, you see all users of a specific entity in one central overview.

In this view, you can:

  • Display all active, pending, and deactivated users

  • Download the user list

  • Invite new users

  • Resend invitations to pending users

  • Deactivate or reactivate active users

  • Adjust roles and permissions of active users

Filter users by status

Use the filters above the user list to sort by status:

  • Active – Users with access to Candis

  • Pending – Users who received an invitation but have not completed their registration

  • Deactivated – Users without access to Candis

These filters help you stay organized, especially when managing many users.


Invite new users

  1. Open Settings > Users.

  2. Click Create new.

  3. Enter the email address of the new user.

  4. Select the appropriate role.

  5. Send the invitation.

The invited user receives an email and completes the registration through that email.

Tip: If a user did not receive the invitation, filter by Pending and resend the invitation.


Adjust roles and permissions

  1. Open Settings > User management.

  2. Select an active user from the list.

  3. Update the assigned role.

The new role applies immediately and updates the user’s permissions accordingly.

Note: Only users with the appropriate permissions can change roles.


Deactivate users

When you deactivate a user, they immediately lose access to all Candis functions.

How to deactivate a user

  1. Open Settings > User management.

  2. Select an active user.

  3. Start the Deactivate action.

During deactivation, Candis checks whether the user is still:

  • Part of a workflow

  • Assigned to an approval step

  • Holder of a credit card

  • Linked to other active responsibilities

You must resolve these connections before you can complete the deactivation.

Note: As long as an active assignment exists, you cannot deactivate the user.


Reactivate users

  1. Open Settings > User management.

  2. Filter by Deactivated.

  3. Select the user you want to reactivate.

  4. Start the Reactivate action.

After reactivation, the member regains access according to their assigned role.
