This article explains how to recognize expiring credit cards in Candis and how to request or issue a replacement card.
Recognizing expiring cards
Candis automatically flags credit cards that expire within the next 14 days. The flag appears in two places:
In the Card overview under Credit cards > Card overview, you'll see a clock icon next to the card status. This icon indicates that the card is expiring soon.
On the card detail page of the affected card, a notification banner shows the remaining time, e.g. "Expires in 9 days".
Replacing a card
Depending on your role, there are two ways to replace an expiring card.
As a cardholder request a replacement
As a cardholder, you can request a replacement for an expiring card directly from the card view. The request is then sent to the credit card manager for review and approval.
Open Credit cards in the left navigation.
Click the expiring card.
Click Replace.
Select a reason for the card replacement and confirm by clicking Replace.
The credit card manager receives the request, reviews it, and approves the replacement card.
Candis creates the replacement card with all existing settings and automatically transfers active subscriptions to the new card.
All settings and payment connections from the old card are transferred to the new card. The old card is deactivated.
The old card remains active until the credit card manager approves the replacement.
As a credit card manager: replace a card directly
As a credit card manager, you can replace an expiring card directly without requiring confirmation from another person.
The steps are the same as mentioned above.
Example
A team member uses a virtual Candis credit card for an active Netlify subscription. Candis shows a banner reading "Expires in 9 days" on their card detail page. They request a replacement directly from the card detail page, selecting "Expiring soon" as the reason. The credit card manager approves the new card — the Netlify subscription continues without interruption, as the payment connection is automatically transferred to the new card.
