How to submit a per diem

To correctly submit your per diem in Candis, you’ll need two key pieces of information:

1. Travel period and countries visited:
Enter the exact start and end time of your business trip, and specify the countries you visited during that time.

The starting point should always be your home or office.

2. Provided meals:
Indicate whether any meals were provided to you during your trip – for example, hotel breakfast or a dinner paid for by a business partner.
These entries directly affect the amount of the per diem.

Only when both travel details and meal information are complete can Candis calculate the correct per diem for your trip.

The submission can also happen on mobile.

How is the per diem calculated?

Candis uses the current flat rates published by the German Federal Ministry of Finance as the basis for calculation.
These rates define the per diem amounts depending on the destination country and duration of the business trip.

Candis automatically keeps these rates up to date.

How does the calculation work – and where can I see it?

You can view the detailed calculation at any time in Candis.
Simply click on “Show calculation” in the relevant reimbursement entry.

There you’ll see a clear overview of all important details such as countries, times, and provided meals.

Why are arrival times for countries required?

Candis asks for the exact entry and exit times per country to determine which per diem rate applies to each day.
This is especially important if you travel across multiple borders in one day.
The applicable rate depends on the country where you spent most of the time – so accurate time entries are essential.


What is a provided meal?

Provided meals are meals that were not paid for by you. This includes, for example:

  • Breakfast included in a hotel stay

  • Lunch during an event or conference

  • Dinner covered by a client or business partner

These must be reported in Candis, as they reduce the per diem amount accordingly.
