What is the difference between the mileage allowance and the distance allowance?
The mileage allowance is used for business trips taken with a private vehicle. You receive a fixed rate (e.g. €0.30 per kilometer driven) for the entire distance – that is, for both the outward and return journey.

The distance allowance (also known as the commuter allowance) applies to the one-way trip between your home and your regular workplace. It is not processed in Candis, but rather claimed in your tax return.

Example:

  • Business trip: You drive 100 km to a client meeting and back using your private car → mileage allowance for 200 km.

  • Daily commute: You drive 20 km to the office each day → distance allowance for 20 km per day, but this cannot be processed through Candis.


What should I do if the end of the trip is not in the starting country?
No problem: if your trip ends abroad, just make sure that the end of the trip coincides with the end of the business activity. A later return to, for example, Germany does not need to be entered in Candis – it's not relevant for calculating the allowance.


Can I submit multiple per diem reimbursements (VMAs) in one claim?
No, in Candis, you can only submit one VMA reimbursement per claim. A VMA (per diem allowance) is always tied to a specific travel purpose – each trip should therefore be submitted separately.


How can I export provided meals and received VMAs for payroll accounting?
In the Archive, under Documents, there is a handy filter function. You can use it to generate a report that lists all received allowances and provided meals. These reports can be easily exported and used for HR or payroll systems.


Is there also an overnight allowance in Candis?
