How is the mileage calculated?

In this article, you'll learn how Candis calculates the mileage allowance for business trips made with a private vehicle and what information is required.

How the calculation works
To calculate the mileage allowance correctly, enter all the places you visited during your business trip with the respective vehicle into Candis.

You can either enter the exact address (e.g., Karl-Liebknecht-Straße 5, Berlin) or simply the name of the location (e.g., Candis GmbH).

After entering all stops, Candis automatically determines the shortest distance in kilometers between the destinations and calculates the allowance based on that.

Which rate is used?
Candis uses the legally mandated rate of €0.30 per kilometer driven to calculate the mileage allowance.
This rate is established in Section 9 (1) No. 4 of the German Income Tax Act (EStG) and applies to trips made with a private vehicle for work-related travel.

Important: Difference between mileage allowance and distance allowance


The mileage allowance applies to business trips made with a private vehicle – meaning both the outbound and return journey to the business destination.
The distance allowance (also known as the "commuter allowance") only applies to the one-way trip between home and the regular workplace and is claimed in the tax return, not in Candis.

Candis only supports the mileage allowance for work-related trips.

Can I adjust the kilometers manually?
Yes, that's possible. For example, if you had to take a detour due to traffic or construction, you can use the "Use custom distance" feature to enter your own number of kilometers.
