Reports and budgets

Add reports for contacts, G/L accounts or cost centres to your dashboard and expand these reports with budgets.

This article explains how you add reports for contacts, G/L accounts, or cost centers to your dashboard, and how you expand these reports with budgets.

Click the Candis logo in your left-hand navigation menu to access your personal dashboard. On your dashboard, you find the Reports area. Click Create report to start creating a report.

What data can I use for reports?

You create reports for:

  • Cost centers

  • G/L accounts

  • Contacts

After you click the Create report button on the dashboard, you select in the following menu whether you want to create a report for cost centers, G/L accounts, or contacts.

Note: You can only create reports for cost centers or G/L accounts if they've been imported or created manually beforehand.

Creating a report and sharing it with your team

Once you've decided on a data basis (cost centers, G/L accounts, contacts), you make further restrictions in the following menu:

  1. In the Name and content tab, limit the data. You select several G/L accounts, cost centers, or contacts to include in your report.

  2. Under Name, define your own name for the report. Under Share report with team members, you make the report available to your colleagues. Once created, it appears on their dashboard as well. Editing the report still remains reserved for the creator.

  3. Optionally, add a budget to your report. You set the budget annually or quarterly.

    Candis breaks budgets down by month in the monthly view.

    In the screenshot, the budget is set to €9,000 per quarter. Candis divides your budget by the 3 months of the quarter and sets it to €3,000 per month. The same applies to annual budgets: Candis divides them by 4 in the quarterly view or by 12 in the monthly view.

  4. Click Save and close to save your entries. Candis then displays the report on your dashboard, and on your colleagues' dashboards if you selected any.

If you've added a budget, the report shows you how much of your budget has currently been used.

Note: Reports can only refer to the data of one Candis account. You can't create reports across multiple accounts or make them visible in other accounts.

Moving or editing reports afterward

Each report has a submenu that you open by clicking the three dots next to the respective report. There, you edit your report at any time or delete reports you no longer need.

If you have too many reports, or only want to see certain ones at a glance, use the Move to other reports button to move them behind the Other reports link.

Adjusting time periods for reports

In the Reports section of your dashboard, you find a button in the upper right corner of the screen. Use it to set the time period and apply it to all your reports.

You set the year, and you display the following periods through the corresponding tabs:

  • Annual

  • Quarterly

  • Monthly

Use the arrow keys next to the button to move forward and back. Use the Custom tab to set an individual time period.

Restrictions on the data displayed

Candis derives restrictions on the data shown in your reports from your rights. Consider the following points when creating a report:

  1. Candis calculates the total from all invoices you have access to that contain the specified cost centers, G/L accounts, or contacts.

  2. For invoices that have been split, Candis only takes over the cost centers and G/L accounts of the relevant partial amounts.

  3. If you're a requester or administrator, Candis also counts invoices that are in processing and that already have a cost center, G/L account, or contact assigned.

These restrictions prevent employees from gaining access to data from processes they aren't involved in.

Click a report to go directly to the relevant documents.
