How to be up to date with missing invoices for transactions

You want to know which credit card transactions are still missing a receipt and how to remind users? In Candis, you get a central overview of missing invoices and can systematically follow up on outstanding receipts.


Where to find missing invoices

Candis displays missing invoices in two central areas. Both sections help you quickly identify and track open receipts.

1. In Inbox > Transactions

Open the Inbox section.
Switch to the Transactions tab.
Filter for transactions without a receipt or check the corresponding label in the overview.

Here, you see all credit card transactions without receipts in detail.

2. In the Credit Card Dashboard under “Missing invoices”

  • Open the Credit Card Dashboard.

  • Go to the Missing invoices section.

In this section, you get a complete overview of:

  • All open transactions without a receipt

  • The assigned users

  • The number of missing invoices per user

The Credit Card Dashboard is especially useful if you want to review the status on a user level.


Contact users directly

You can contact users directly from the overview if receipts are missing for their credit card transactions.

  • Open the Missing invoices section in the Credit Card Dashboard.

  • Select the relevant user.

  • Send an email reminder.

This allows you to follow up on missing invoices in a targeted way and speed up the submission of receipts.


Automatic reminders for missing invoices

Candis also supports you with automatic reminders:

  • Candis checks all credit card transactions every morning.

  • Candis identifies transactions without a submitted receipt.

  • Candis automatically sends an email reminder to all affected users.

Only users who are responsible for the respective credit card transaction and have not yet submitted an invoice receive the reminder.

This reduces manual effort and ensures that missing receipts are requested on a regular basis.


Use cases

Example 1: Preparing the monthly closing
Before the monthly closing, review the Missing invoices section in the Credit Card Dashboard. Contact users with multiple open receipts to ensure complete bookkeeping.

Example 2: Clarifying team responsibilities
You notice in the Credit Card Dashboard that a user regularly submits receipts late. Contact the person directly and clarify the internal process for submitting receipts.
