The basic principle: your tasks first
Candis shows two things separately in its numbers:
Your tasks: documents that need action from you, for example approving an invoice or uploading a missing receipt for your credit card transaction.
Total: all documents you can view in an area, even if you don’t need to take any action on them.
The number of your tasks always comes first.
Numbers in the table tabs
Above the tables, Candis shows two numbers on each tab, separated by a vertical line: first your tasks, then the total.
Example: The Approvals > Invoices tab shows 2 | 28. This means 2 invoices are waiting for your approval. In total, you can view 28 invoices in this tab. You don’t need to take action on the other 26 invoices.
Hover over the numbers to see a short explanation.
Numbers in the side navigation
In the side navigation, Candis counts only your tasks. The side navigation doesn’t show the total.
To see which documents are behind a number in the side navigation:
Hover over the number next to the menu item.
Candis shows you the breakdown by document type.
Example: The Approvals menu item shows 7. When you hover over the 7, Candis shows that 2 invoices and 5 reimbursement cases are waiting for your approval.
Numbers in the company menu
If you work in multiple companies, the company menu shows your tasks across all companies:
For each area (Inbox, Approvals, Export and Payments), Candis adds up your tasks from all companies.
For each individual company, Candis shows two numbers: the red number stands for overdue tasks, the neutral number for all your tasks in that company.
Note: The company menu now counts tasks, not companies. The number next to Approvals shows how many documents across all companies are waiting for your approval.
What doesn’t count as your task
You can view some documents, but they don’t count as your tasks. These documents only appear in the total above the tables.
Inbox invoices for approvers: For users with the Approver role, invoices in the Inbox don’t count as tasks.
Other cardholders’ credit card transactions: Only transactions on your own credit card with a missing receipt count as tasks.
Documents that are someone else’s responsibility: A document doesn’t count as your task while another person needs to act on it. Example: A reimbursement case is with the submitter for clarification.
Contracts and other documents: Contracts and other documents don’t count as tasks.
Note: A reimbursement case that is with the submitter for clarification only counts as a task for accounting again once the submitter resubmits it for review.
Use cases
Approver: The Approvals > Invoices tab shows 3 | 40. You know right away: you need to approve 3 invoices, and you can only view the other 37.
Accountant with multiple companies: In the company menu, the number next to Export is 12. Across all companies, 12 documents are ready for export. A red number next to a company shows you that tasks in that company are overdue.
