In this article, you will learn how to work with multiple entities in Candis, switch between them, filter them, and how to request a new entity setup.

Use Multiple Entities in Candis

Candis allows you to work with multiple entities. These entities do not need to be related to each other.

You can, for example:

  • Manage several legally independent companies

  • Use separate test and live entities

  • Keep different clients strictly separated

Each entity operates independently with its own members, workflows, and settings.

Open the Entity Menu

All entities you have been invited to are available in the entity menu in the top left corner of the navigation.

How to switch entities

  1. Open the entity menu in the top left corner.

  2. Select the entity you want to work in.

After switching, you only see and work with data from the selected entity.

Invoices, approvals, payments, and exports are always assigned to a specific entity.

View Open Tasks per Entity

In the entity menu, you also see:

  • The number of open tasks in Inbox

  • The number of open Approvals

  • Additional status indicators depending on the area

This overview helps you identify where action is required before switching.

Filter and Sort Entities

If you have access to many entities, you can organize the list in the entity menu by:

  • Using the search field

  • Sorting by Last used

  • Filtering by specific areas such as Inbox, Approvals, or Export

These options help you quickly find the relevant entity.

Set Up a New Entity

If you want to create a new entity in Candis, contact Support.

Support will assist you with:

  • Setting up the new entity

  • Connecting your accounting system

  • Configuring the initial setup

Use Cases

Managing multiple subsidiaries
You can create and manage each subsidiary as a separate entity and switch between them as needed.

Using a test environment
You can maintain a separate test entity to validate workflows or integrations before using them in your live environment.

Accounting firms managing clients
If you manage multiple clients, you can create one entity per client to keep all data strictly separated.
