The Inbox is where all invoices and documents arrive that you upload to Candis or submit via email. This article explains how the Inbox is structured and how to use it as your starting point for document review.
What is the Inbox?
The Inbox is the central area in Candis where all incoming documents are collected — regardless of how they entered the system. From here, you start the review, processing, and approval of your invoices.
How do documents reach the Inbox?
Candis supports two ways for documents to arrive in the Inbox:
1. Manual upload Upload documents directly to Candis by clicking + Upload documents in the top right corner of the Inbox. You can upload individual files or multiple files at once.
2. Email import Every Candis company has an individual email address. Documents sent to this address arrive in the Inbox automatically. You can find the Import via email button in the top right corner of the Inbox as well.
Tip: Ask your suppliers to send invoices directly to your company's individual email address — this way, documents arrive in the Inbox without any manual effort.
Structure of the Inbox
The Inbox is divided into several tabs. Each tab contains a specific type of document:
Invoices — Incoming invoices that need to be reviewed, enriched with accounting data, and approved
Transactions — Credit card transactions that have not yet been matched to a document
Contracts — Documents that were uploaded as contracts
Reimbursements — Expenses and reimbursement cases submitted by employees
Other documents — Documents that don't belong to any of the other categories
Note: The number of unprocessed documents appears directly next to each tab — so you can see at a glance where action is needed.
Key information at a glance: The document list
The document list in the Invoices tab displays the most important information for each document in a table view:
Status — For example, "New" for invoices that have not yet been processed
Info — Icons provide additional information at a glance, like:
Document details — Including supplier, invoice date, invoice number, and more
Tags — For quick categorization and filtering
Tip: Use the + Filter button to filter the document list by status, supplier, time period, and other criteria to find specific invoices quickly.
