In this article, you will learn how to manage members in Candis, invite new members, deactivate or reactivate them, and adjust roles.
Overview: Settings > Members
In Settings > Members, you see all members of a specific entity in one central overview.
In this view, you can:
Display all active, pending, and deactivated members
Download the member list
Invite new members
Resend invitations to pending members
Deactivate or reactivate active members
Adjust roles and permissions of active members
Filter members by status
Use the filters above the member list to sort by status:
Active โ Members with access to Candis
Pending โ Members who received an invitation but have not completed their registration
Deactivated โ Members without access to Candis
These filters help you stay organized, especially when managing many members.
Invite new members
Open Settings > Members.
Click Create new.
Enter the email address of the new member.
Select the appropriate role.
Send the invitation.
The invited member receives an email and completes the registration through that email.
Tip: If a member did not receive the invitation, filter by Pending and resend the invitation.
Adjust roles and permissions
Open Settings > Members.
Select an active member from the list.
Update the assigned role.
The new role applies immediately and updates the memberโs permissions accordingly.
Note: Only members with the appropriate permissions can change roles.
Deactivate members
When you deactivate a member, they immediately lose access to all Candis functions.
How to deactivate a member
Open Settings > Members.
Select an active member.
Start the Deactivate action.
During deactivation, Candis checks whether the member is still:
Part of a workflow
Assigned to an approval step
Holder of a credit card
Linked to other active responsibilities
You must resolve these connections before you can complete the deactivation.
Note: As long as an active assignment exists, you cannot deactivate the member.
Reactivate members
Open Settings > Members.
Filter by Deactivated.
Select the member you want to reactivate.
Start the Reactivate action.
After reactivation, the member regains access according to their assigned role.
