What is the Responsible Person?
The responsible person is the user in Candis who is accountable for a contract. They receive automatic notifications β for example, when a follow-up date is reached β and are the primary point of contact for all follow-up actions related to that contract.
The responsible person can only be assigned to documents classified as a contract.
Persons to Be Notified
In addition to the responsible person, you can add one or more persons to be notified to each contract. These users receive the same notifications as the responsible person β for example, when the follow-up date is reached.
Typical use case: You add a manager or a colleague from the procurement team as a person to be notified, so that multiple people are alerted at the same time when a contract is approaching its deadline.
Requirements
The document must be classified as a contract.
You need access to the relevant contract in Candis.
Only active users within the company can be selected as the responsible person or as persons to be notified.
Assigning a Responsible Person
Open the desired contract in Candis.
Locate the Responsible person field in the editing panel.
Click the field and select a user from the list.
Save your input.
Candis displays the selected user in the Responsible person field. This person receives all notifications triggered for this contract going forward.
Tip: Only one person can be assigned as the responsible person per contract. If multiple people need to be notified, use the Persons to be notified field.
Adding Persons to Be Notified
Open the desired contract in Candis.
Locate the Persons to be notified field in the editing panel.
Click the field and select one or more users from the list.
Save your input.
Candis displays all selected users in the Persons to be notified field. You can remove a person at any time by clicking the X next to their name.
Persons to be notified receive the same notifications as the responsible person, but do not hold formal accountability for the contract.
Use Cases
Single point of ownership in procurement A supplier contract is managed by a member of the procurement team. You assign this person as the responsible person. They receive the reminder when the follow-up date is reached and can initiate the contract renewal process in time.
Contract involving multiple stakeholders An IT services contract concerns both the IT department and senior management. You assign the IT lead as the responsible person and add the management team as persons to be notified. Both receive the notification on the follow-up date β while accountability remains clearly with the IT lead.
