How can I set a follow-up date for contracts?

This article explains how to set a follow-up date for contracts in Candis and how Candis automatically reminds the responsible person on the chosen date.

What is the Follow-Up Date?

The follow-up date defines when Candis automatically sends a notification to the person responsible for a contract, reminding them to review it. You can set the date freely and adjust it at any time.

Typical use case: You set the follow-up date shortly before a contract's cancellation deadline expires — ensuring the responsible person can act in time.

The follow-up date is only available for documents classified as a contract. Documents with a different classification do not display this field.


Requirements

  • The document must be classified as a contract.

  • You need access to the relevant contract in Candis.

  • The person responsible for the contract receives the notification — make sure the responsible person is correctly assigned before setting a follow-up date.


Setting a Follow-Up Date

  1. Open the desired contract in Candis.

  2. Locate the Follow-up date field in the editing panel.

  3. Select a date from the calendar or enter it manually in the format DD.MM.YYYY.

  4. Save your input.

Candis automatically notifies the responsible person on the selected date.

Tip: You can update the follow-up date at any time — open the contract again and adjust the date in the Follow-up date field.


Using the Reminder Before Cancellation Deadline

Candis also provides the Reminder before cancellation deadline field, which automatically calculates the follow-up date based on the Last cancellation date.

Follow these steps:

  1. Enter the date by which the contract must be cancelled in the Last cancellation date field.

  2. Select one of the predefined timeframes in the Reminder before cancellation deadline field:

    • 1 week

    • 2 weeks

    • 4 weeks

    • 2 months

    • 3 months

    • Custom — you enter the follow-up date directly yourself

  3. Candis calculates the follow-up date automatically and enters it in the corresponding field.

Example: Last cancellation date is 16.04.2026, reminder is set to "2 weeks" → Candis automatically sets the follow-up date to 02.04.2026.

Note: If you select Custom, you must enter the follow-up date manually. Candis does not calculate it automatically in this case.


Use Cases

Contract with an annual cancellation deadline A rental agreement runs until 01.10.2025 and has a three-month cancellation period. You enter 01.07.2025 as the last cancellation date and select "4 weeks" as the reminder timeframe. Candis automatically sets the follow-up date to 03.06.2025 — the responsible person receives a reminder and has enough time to decide whether to renew or cancel the contract.

Follow-up for contract review A software contract is reviewed annually. You manually set the follow-up date two months before the contract end date — giving the responsible person sufficient time to renegotiate terms or cancel the contract.
