Purchase and setup of the DATEV Buchungsdatenservice

The Buchungsdatenservice is a cloud service of DATEV and enables the transfer of

  • booking records

  • core data

  • payment conditions

... to DATEV Rechnungswesen. This must be ordered for the portfolio and then the permissions must be stored on the DATEV authentication medium.

Note: It often happens that the Buchungsdatenservice is already accessible to all clients, but the permission to use it is missing.

A DATEV admin can provide these permissions.

Administration of the DATEV Buchungsdatenservice

Check for the interface and activate it in DATEV

... can be opened.

The Buchungsdatenservice has to be activated here.

If this is not displayed under the Cloud Services Accounting, then we have summarized the order of the Buchungsdatenservice once for you.

Purchase of the Buchungsdatenservice

All the necessary settings can be made easily and conveniently via the MyDATEV client registration.

First, open the

  1. DATEV Arbeitsplatz

  2. Select the client you want to change.

  3. Use the program search on the right-hand side of the screen to open the MyDATEV Mandanteregistrierung.

In the next menu, you will see the name of the client / company. Now click on Registrierung starten.

Now you are now lead to the product selection. Select the product DATEV Buchungsdatenservice.


By clicking on Weiter zu Personen festlegen you can activate your users for the service.

Here are the prices of the DATEV for the Buchungsdatenservice (Stand 10.05. 23):

The calculation takes place according to transmitted booking records per client portfolio:

1.30 EUR/month up to 500

2.50 EUR/month up to 1.000

4.50 EUR/month up to 2.000

10.00 EUR/month up to 5000

15.00 EUR/month up to 10.000

27.00 EUR/month per further 10.000

The basic price of the scale of 1.30 EUR/month is always incurred when creating a client portfolio, regardless of the data transmission. Additional charge: When creating a client database, additional costs for DATEV vouchers online per client database arise (see DATEV price list under Art. No. 95157).

The prices do not include VAT. DATEV's terms and conditions apply.

The last step is to set up the Buchungsdatenservice. If necessary, this can only be done by your DATEV admin (usually the tax office).

If you also need to order DATEV Unternehmen online, you can do this in this step outlined in the screenshot below. If not, then this step can be skipped.

Note: When the Buchungdsatenservice is connected in Candis there can be a delay of 10 - 15 min in some cases. The Buchungsstapel is not connecting in that case (disconnect - wait - connect again).

Connect the DATEV Buchungsdatenservice interface in the Candis settings

In order to use the Buchungsdatenservice for exporting directly to DATEV Rechnungswesen, the connection to your DATEV Rechnungswesen program and the DATEV interface Buchungsdatenservice must be established in the Candis settings.

To do this, go to Settings → DATEV integration and disconnect your current connection. Now select DATEV Rechnungswesen in the screen and click on Connect.

In the next step, select the client and click on Connect again. You will be redirected to DATEV, where you confirm access with your DATEV Smart-ID and give Candis the appropriate authorization.

In the next step, the G/L account length, the chart of accounts and the fiscal year are defined. Please make sure that the entries match the values in DATEV Rechnungswesen, otherwise error messages may occur when importing into DATEV.

If the Buchungsdatenservice has already been set up via the MyDATEV Mandantenregistrierung for the corresponding client, then it will be displayed under Settings → DATEV integration → Export features → Posting batch that the Service is connected. We will add the account numbers for provisions in the next step.

If, on the other hand, an error message is displayed stating that the authorizations are still missing or that the interface has not been set up via the MyDATEV client registration, follow the steps in this article.

Defining the account numbers for provisions

Now the account number for provision postings must be defined in the Candis settings. Go to SettingsProvisions and click in the respective fields to add account numbers for provisions and other assets.

Note: When the Buchungdsatenservice is connected in Candis there can be a delay of 10 - 15 min in some cases. The Buchungsstapel is not connecting in that case (disconnect - wait - connect again).

Process data in DATEV Rechnungswesen via the Buchungsdatenservice

After the export from Candis, the data must be retrieved from the data center (RZ - Rechenzentrum) and processed in DATEV Rechnungswesen. Here you can find out how this works and what you need to bear in mind.

Importing booking batches and core data

Retrieve the data

To fetch the data from the Rechenzentrum, go to Mandant ergänzen in the menu on the left. Now select the field Beleg-/Buchungsstapel und Stammdaten (RZ) and click on Daten holen.

Processing data

To process the exported posting batches and core data, open the Stapelverarbeitung in the menu on the left. There you can see all exported batches:

  • Posting batch with invoices and provisions

  • Business partner core data

  • Payment conditions

  • Transaction batch with credit card transactions (if Candis credit cards are used).

To import the data into your DATEV Rechnungswesen file, select the batches and click on Verarbeiten.

Processing the posting batch

Here you have the option of processing the posting batch into an existing batch or creating a new posting batch.

Posting documents

In the next step, go to Belege buchen in the menu on the left and select the relevant posting batch in the mask. The posting batches are not fixed yet, so that subsequent changes are still possible.

Example:

Business partner A has a new IBAN and you update the IBAN in the contact field in Candis. With the next export, the updated core data is exported to DATEV Rechnungswesen and imported via batch processing.

With this import of the data, the IBAN is updated (overwritten) for Business Partner A in DATEV Rechnungswesen. All other fields and data at business partner A remain unaffected.

How the payment conditions are imported into DATEV Rechnungswesen

The import of payment conditions works exactly like the import of core data, except that, during batch processing, the batch Zahlungsbedingungen is selected and processed.

The imported payment conditions are displayed under Stammdaten → Kreditoren → Zahlungsbedingungen.

Payment conditions stored with business partners can be viewed via Kreditor → OPOS Allgemein.
