Export invoices and document data to DATEV Unternehmen online and create posting suggestions (Buchungsvorschläge) in DATEV Rechnungswesen

Rechnungsdatenservice 1.0

The Rechnungsdatenservice 1.0 is used with documents that:

  1. have the document type "Rechnungseingang" or "Rechnungsausgang" and

  2. for documents imported directly into the cash ledger.

  3. For all other documents, the Belegbilderservice is automatically used.

Requirements

  1. DATEV Authentication device

  2. DATEV Unternehmen online client

  3. DATEV Unternehmen online client in extended working mode

  4. DATEV Unternehmen online client in the current fiscal year

  5. Permissions for Belege online

  6. Rechnungsdatenservice 1.0

  7. Permissions to use Rechnungsdatenservice 1.0

With the Rechnungsdatenservice 1.0, not only the document images with summary are transmitted, but also all document records (account assignment, invoice number, amount, etc.) that you previously entered, in the processing.

Note: It often happens that the Rechnungsdatenservice 1.0 is already accessible to all clients, but the permissions to use it are missing.

A DATEV Admin can provide these permissions.

Under:

  • Anwendungen

  • Administration

  • you an access Rechteverwaltung online

Here the Rechnungsdatenservice 1.0 has to be activated.

If this is not displayed under Cloud Services Rechnungswesen, we have summarized the ordering of the billing data service for you:

Ordering the Rechnungsdatenservice 1.0

All the necessary settings can be made easily and conveniently via MyDATEV Mandanteregistrierung.

First open the

  1. DATEV Arbeitsplatz.

  2. Select the relevant Mandant you want to change.

  3. Using the Programmsuche on the right side you call up the MyDATEV Mandantenregistrierung.

The name of the client will be displayed in the next menu. Now click on Start registration.

Now you come to the product selection. Select the product Rechnungsdatenservice 1.0.

If an employee missing you can register missing employees and apply for a SmartLogin at the same time.

You can complete the order process by clicking on Weiter zur Bestellung.

You will now receive an order summary and only need to accept DATEV's terms and conditions and the service description and click on Kostenpflichtig bestellen.

You now have the option of assigning permissions to future users. To do this, select the person on the left and enter the tasks to be performed in DATEV Unternehmen online on the right.

Once you have completed the order, the change will be activated immediately. You can then activate the connection under

  • Einstellungen

  • DATEV Schnittstelle

and then reconnect to DATEV Unternehmen online. The information is then retrieved from your authentication medium (SmartLogin or mIDentity-Stick) and you can activate it under Document data.

Important

If the connection is not disconnected and reconnected, but only the button next to the document data is pressed, the error message will remain. Disconnecting and reconnecting is therefore mandatory.

Exporting the approved invoices in Candis

Once the approval process for an invoice is complete, it lands in the Export menu and is ready to be exported directly to DATEV Unternehmen online.

The scope of the export cannot be limited and always contains all approved documents.

To start the export process simply click on Export.

Further processing in DATEV Unternehmen online

The documents exported via the Rechnungsdatenservice 1.0 end up in DATEV Unternehmen online under Belege bereitstellen.

Bereitstellen of the incoming invoices

At the Startseite Belege in DATEV Unternehmen online, you will find the Bereitstellen section. Here you can mark your batches and make them ready for collection by clicking on Bereitstellen for DATEV Kanzlei-Rechnungswesen where you then retrieve the posting suggestions.

Bereitstellen of the credit card transactions

If you work with external credit cards in Candis and export them to the DATEV cash ledger via an individual document type, you must open the corresponding cash ledger after the export has been completed and click on Festschreiben & Bereitstellen.

Retrieve the posting suggestions (Buchungsvorschläge) in DATEV Rechnungswesen

In order to be able to see the posting suggestions (all data read out by Candis and added information by Candis users) in DATEV Rechnungswesen, these must first have been retrieved.

In DATEV Rechnungswesen, this provided data must be retrieved via Mandant ergänzen.

To do so:

  1. Under Vorbereitende Tätigkeiten in your overview on the left, click on Mandant ergänzen

  2. Select Kassen-/Rechnungsstapel aus Kassenbuch/Belege online.

  3. Click on Daten holen to start the process.

The Buchungsvorschläge bearbeiten feature is located in your posting line. This allows you to create the posting suggestions with the invoice image preview.

Select your Buchungsstapel and confirm your selection with OK. You must repeat this in the next menu.

Your posting suggestions (Buchungsvorschläge) are now displayed.

Posting invoices from the former fiscal year

If a new financial year has already begun and the annual financial statements for the previous financial year have not yet been completed, you can easily post the invoices to the respective financial year.

However, once the financial year has been completed, the procedure changes slightly, as in DATEV only the vouchers can be imported into the respective financial year via Mandant ergänzen/Buchungsvorschläge bearbeiten.

You will certainly want to avoid correcting the annual financial statements in the case of vouchers submitted very late. You can only import these vouchers from the old, closed financial year into the current financial year via “Post digital vouchers”.

Payment via DATEV Kanzlei-Rechnungswesen

The due date of a document affects your master data in DATEV!

In DATEV Rechnungswesen, payment is triggered via DATEV Zahlungsverkehr. This is supported by the master data you enter for the respective supplier in DATEV Rechnungswesen; the payment terms stored are particularly important.

If the checkbox "Create transfer" is marked in Candis, the due date of the documents is entered in the "Belegfeld 2" in DATEV Kanzlei-Rechnungswesen. If there is information in this field, the master data for the payment is not addressed.

Therefore, if you want to use your master data in DATEV Rechnungswesen for payment, the "Belegfeld 2" must be empty.

How can I prevent my "Belegfeld 2" in DATEV Kanzlei-Rechnungswesen from containing a value?

In Candis, under the menu item

  • Settings

  • Payments

activate the option "Pay via DATEV Rechnungswesen".
(This setting is not available for users of the add-on for DATEV self-bookers)

With this setting, your due dates are not transferred to "Belegfeld 2" if a document has been released with the "Create transfer" checkbox.

With this, your master data from DATEV Kanzlei-Rechnungswesen can be used in DATEV Zahlungsverkehr without any problems.
