In CANDIS, documents are uploaded, approved, and exported daily, but where can I find my documents again afterward and what can I do with the extracted data? You can find the answers here!


Where can I find all my documents?

You can find your documents under the menu item of the same name in the left menu bar.


Why am I not shown all the documents?

An administrator in CANDIS can view all documents in this menu. Are you

  • Requester

  • Approver

then you can only see the documents you have access to or were involved in the approval process.

As a requester, you see all documents that are in the processing and that you have transferred to the approval process.

As an approver, you can see all the documents in which you have been specified as an approver.

If you are mentioned in a comment on a document, this document is also permanently available to you. This applies equally to requesters and approvers.


What other options does the document overview offer me?

1. The search function

The search bar is located at the top of the screen. Here you can enter the value you want to search for. All documents that match your search query are then displayed in the table below.

Your search query does not lead to any results? Here is a table where we have listed the searchable fields.

Important: Since our search is fuzzy, we also suggest results that do not match your entries 100 %. If you search for 10, results such as 100, 91000, 10.05.2020 are also displayed - i.e. all values that contain the search term 10. If, for example, you are looking for an exact invoice number or an exact amount, put the search term in "quotation marks".

2. The filter and sort function

Next to each heading, there are no symbols or up to two symbols. These indicate your options for further editing the table. You can sort your table with the up and down arrows. With the funnel, you can filter the table and thus exclude documents that are not important for your work.

Note: You can combine filters and sorts.

Do you want to export the data from the document overview to use it outside CANDIS?

Use the button at the top right to download the table to your computer as a CSV file.

The table is exported with your active sorts and filters.

In addition, the following fields are added to the export:

  1. Document ID (you can use this to search for the document in DATEV Unternehmen online)

  2. Document type

  3. Company ID
