Candis assigns invoices to a wrong contact or a contact is created twice

This article explains why Candis sometimes assigns an invoice to the wrong contact how you fix the cause, and how you merge duplicate contacts.

Your own EU VAT ID, tax number, or IBAN often appears on incoming invoices, for example in a sentence like "We will debit the amount from the following account: DE 01 1234 1234 1234 12." Whenever these details aren't clearly declared on your suppliers' invoices, there's a risk that Candis reads this data as the contact's data and saves it incorrectly.

For example, if your own tax number is saved with the contact name "Telekom" and you receive an invoice from "Würth" the next day that also has your own tax number printed on it, Candis assigns the Würth invoice to the contact "Telekom."

To solve this problem, complete the following three steps: correct wrong contact data, store your own company data in the settings, and merge duplicate contacts.

If you now upload new invoices, Candis assigns the contact correctly again.

You can permanently avoid an incorrect assignment by storing your own IBAN, EU VAT ID, and tax number for each of your Candis companies. This way, Candis never assigns this data to a contact again and only reads the contact's own data.

If you notice that a duplicate contact has been created, you can merge the two contacts together.

To do this, select the checkbox on the left side of all contacts you want to merge, then select Merge contacts.

Note: Once merged, contacts can't be split apart again. Check carefully before merging that you're looking at the same contact.
