Table and search functions for documents

How the new search and table features work.

With tables in Candis, you can quickly find, analyze, and download your documents. This article explains how search, filters, sorting, column customization, downloads, and visibility work.

Most of the new features are available in the following table sections: Inbox (Invoices, Contracts, Other Documents), Approval (Invoices), and Archive (Invoices, Contracts, All Documents).


1. Search

The search bar is located above the table.
You can choose between different search modes – Candis remembers your selection for each table tab.

  • Search parameters:

    • Starts with

    • Exact match

    • Contains (not available for full-text search)

  • Search scopes:

    • Table search: searches only data fields

    • Full-text search: also searches content inside uploaded PDF files

Notes:

  • The “contains” parameter is more resource-intensive and therefore slower than the other two options.

  • For full-text search, Candis cannot display complete results if a document has more than about 550 pages.


2. Filters

Filters are located to the right of the search bar (no longer in the column headers).

  • New options: relative time periods and amount ranges

  • The three most frequently used filters are shown by default. You can find all additional filters in the drop-down menu.

Note for existing users:
Previously, you could set filters directly in the column headers. They are now grouped next to the search bar, making it easier to keep track of active filters.


3. Sorting

Sorting is still applied directly in the column headers.


4. Adjusting columns

You can customize the table view to fit your needs:

  • Move columns: drag & drop columns into your preferred order.

  • Hide columns: use the menu in the column header to hide a column. Hidden columns can be restored via the column configurator in the top right corner.

  • Freeze columns: pin columns in the header to keep them fixed on the left side of the table.


5. Downloading documents

Export works through the checkboxes in the first column.

  • Click “Select all” (checkbox in the table header)

  • or manually select specific documents

After making your selection, you can export the documents as CSV or PDF. The export will respect your active filters.

Note for existing users:
The download button used to be always visible. It now appears only after you’ve made a selection using the checkboxes.

Additional information in the export:

  • Document ID (you can use this ID to search for the document in DATEV Unternehmen online)


6. Totals overview (invoices only)

In invoice tables, Candis displays the gross total of the selected invoices.

  • This feature is only available for invoices in EUR.


7. Document visibility

Not all users see the same set of documents in the tables.

  • Administrators, Accountants, Requesters: see all documents.

  • Approvers: only see documents they have access to or are involved with in the approval process.

  • Mentions in comments: if you are mentioned in a document comment, that document will also be visible to you.
