What are document attachments?
A document attachment is an additional PDF file that you add directly to an invoice. The attachment becomes part of the invoice and is treated as an integral component of the original document.
Typical examples include:
Contracts
Statements of work
Proof of service
Delivery notes
Supporting calculations
In the invoice view, the document attachment appears directly after the invoice file. Users see the invoice and its attachments as one connected document set.
Format and technical requirements
You can only upload PDF files as document attachments.
Document attachments are export-relevant.
You can only add a document attachment while the invoice is still in the approval process.
Note: Once the approval process is completed, you can no longer add or modify document attachments. Candis includes attachments in the export, which is why changes are no longer possible after approval.
Visibility and access
A document attachment is always linked to a specific invoice.
All users with access to the invoice automatically see the document attachment.
You cannot assign separate permissions to attachments.
The attachment is not an independent document in terms of access rights.
This means: If a user can open the invoice, they can also view all attached documents.
Behavior in exports
Candis exports document attachments together with the invoice.
This is especially relevant for:
DATEV exports
Archiving processes
Sharing documents with tax advisors or auditors
Since the attachment is part of the invoice, Candis ensures that all relevant documents are included in the export.
