Manage access rights for individual documents

In this article, you’ll learn how to view who has access to a specific document (e.g. invoice, contract) and how to grant or revoke access rights.

1. Open access overview for a document

Open the desired document, e.g. an invoice in the Inbox or a contract in the archive.

Click the Manage Access button in the top right corner.

In the sidebar, you will now see:

  • Which users or teams have access

  • With which permission type (e.g. “Can view”)

  • Why they have access (e.g. because they are in the workflow approval process)

2. Difference between explicit and implicit access

Explicit access

This access was granted manually.

You’ll see in the top section:

  • Who was added directly via Manage Access

  • Or who received access through an @mention in a comment

There are two access types:

  • Can view (view-only)

  • Can edit (only for contracts and other documents, not for invoices)

Implicit access

This access results automatically from a person’s role.

Examples:

  • A person has the Administrator role

  • A person uploaded the document

These rights cannot be directly revoked.

3. Grant access

Open the document and click on Manage Access.

Enter the name of a member or team in the search field.

Select the appropriate person or team from the list.

Choose the access type:

  • Can view (view-only)

  • Can edit (only for contracts and other documents, not for invoices)

Click Save.

Tip: You can add multiple people or teams at the same time.

4. Revoke access

Open the document and click on Manage Access.

Search in the upper area for the name of the member or team with explicit access.

Click the selection menu to the right of the name.

Choose Remove.

Note: Implicit access cannot be removed.

5. Who can manage access rights?

  • Members with view rights can grant or revoke view rights for others.

  • Members with edit rights can manage both view and edit rights.
