Why Is Correct Capture Important?
To ensure that your expenses are reimbursed quickly and accurately, all relevant data on the receipt must be clearly readable. Blurry or incomplete photos can lead to inquiries and delays.
How to Properly Capture Receipts Digitally
Complete Receipt: Make sure to capture the entire receipt in the image—no cropped edges. If there is information on the back (e.g., for hospitality expenses), take a photo of that as well.
Good Lighting: Ensure the receipt is well-lit and free from shadows.
Take Photos Immediately: Capture the receipt right after the purchase to prevent creases or loss.
Tip: Use the Candis App – the mobile app helps you easily upload a perfectly cropped photo of your receipt.
Required Information on the Receipt
Make sure the following details are clearly visible and readable:
Name and address of the merchant
Date and time of purchase
Purchased items or services
Total amount and included VAT
Payment method (cash or card)
Receipt number
Special Case: Hospitality Receipts
For hospitality expenses (whether internal or external), additional information must be noted either on the receipt or within Candis:
Names of the attendees
Purpose of the hospitality
Signature of the host
In Candis, you can easily record attendees, distinguishing between internal and external guests, directly in the form.
Keeping the Original Receipt
Please keep the original receipt safe until the expense reimbursement process in Candis is completed.
Your accountant will inform you about the further handling of the original document afterward.
