Desk.SageConnect fetches data from Candis at defined intervals and imports it into Sage 100. In this article you'll learn how to define on which weekdays and at which times Desk.SageConnect starts this transfer.
Note on the interface language: Desk.SageConnect uses a German interface. This article keeps the original German button and field names and explains each one in English.
Requirements
You have access to the computer or server on which Desk.SageConnect is installed.
The connection between Desk.SageConnect and the Candis API already exists.
You know the password for the Sage 100 client whose transfer times you want to change.
You make this setting outside of Candis. You do not need a specific role in Candis for it.
Step 1: Open Desk.SageConnect
Open the Desk.SageConnect application through the desktop icon on the computer or server that runs the transfer.
Step 2: Select the client and log in
Desk.SageConnect opens the window Anmeldung Sage 100 (Sage 100 login). The window shows the database, the user and the currently selected client.
Check the client shown in the field Mandant (client).
Click Mandant wechseln (switch client) if you want to adjust the transfer times for a different client, and select the client you need.
Enter the password in the field Kennwort (password).
Click Anmelden (log in).
Note: Desk.SageConnect stores the settings for Tage (days) and Zeit (time) separately for each client. If you want to change the transfer times for several clients, repeat the adjustment for each client individually.
Step 3: Open the Candis API task
Open the folder APIs in the left-hand navigation.
Select the entry Desk GmbH Candis API.
Click the tab Desk GmbH Candis API Task.
The task shows the three sections Allgemein (general), Tage (days) and Zeit (time).
Step 4: Define the weekdays
In the section Tage (days), define on which weekdays Desk.SageConnect fetches data from Candis.
Select the entry Täglich (daily) under Typ (type).
Tick the checkbox for every weekday on which Desk.SageConnect should run the transfer.
Clear the checkbox for every weekday on which Desk.SageConnect should not run the transfer.
If you clear the checkboxes for Samstag (Saturday) and Sonntag (Sunday), Desk.SageConnect runs no transfer on the weekend. Desk.SageConnect then transfers approved documents from the weekend with the first run on the next active weekday.
Step 5: Define the times
In the section Zeit (time), you define when Desk.SageConnect starts the transfer. The field Typ (type) offers two entries: Intervall (interval) for several transfers within a time window, and Uhrzeit (time of day) for a single transfer at a fixed point in time.
Option 1: Several transfers per day with the type Intervall
Select the entry Intervall (interval) under Typ (type) in the section Zeit (time).
Enter the gap in minutes at which Desk.SageConnect repeats the transfer in the field Intervall (interval).
Enter the time from which Desk.SageConnect starts the transfer in the field Uhrzeit ab (start time).
Enter the time until which Desk.SageConnect runs the transfer in the field Uhrzeit bis (end time).
Option 2: One transfer per day with the type Uhrzeit
Select the entry Uhrzeit (time of day) under Typ (type) in the section Zeit (time).
Enter the point in time at which Desk.SageConnect starts the transfer in the field Uhrzeit (time).
With the type Uhrzeit, Desk.SageConnect starts the transfer once per selected weekday. The fields Intervall, Uhrzeit ab and Uhrzeit bis disappear with this selection.
Tip: Match the times to your working hours. A time window from 08:00 to 18:00 covers a typical working day and avoids transfers during the night.
Step 6: Save the settings
Click Speichern (save) in the upper area of the window. Desk.SageConnect applies the new settings for Tage (days) and Zeit (time) only after you save them.
Note: The checkbox Aktiv (active) in the section Allgemein (general) has to stay ticked. Without this tick, Desk.SageConnect does not run the task, regardless of the settings under Tage (days) and Zeit (time).
Examples
Ongoing accounting operations
Weekdays Monday to Friday, type Intervall, Intervall 30, Uhrzeit ab 08:00, Uhrzeit bis 18:00. Desk.SageConnect transfers data every 30 minutes on working days and covers the working day.
High document volume at month-end closing
Weekdays Monday to Friday, type Intervall, Intervall 10, Uhrzeit ab 07:00, Uhrzeit bis 20:00. Desk.SageConnect transfers approved documents at short gaps, so they become available in Sage 100 quickly.
One transfer per day
Weekdays Monday to Friday, type Uhrzeit, Uhrzeit 18:00. Desk.SageConnect transfers all documents of the day once in the evening.
